Privacy Policy

This Privacy Policy applies to Stable Solution LLC (“Stable,” “we,” “us”) and the websites, client portal, internal operations software, and managed facilities-management service we provide (together, the “Services”). It covers our public site and the application at project.stablesvc.com.

Information we collect

• Account & contact data — name, work email, phone, job title, and the organization and site(s) you're associated with, so we can route and coordinate work.
• Work-order content — descriptions of maintenance issues, locations, photos and completion proof, schedules, notes, and messages you submit.
• Transaction & billing data — rates, quotes, invoices, disputes, and payment status. Card details are handled by our payment processor; we do not store full card numbers.
• Usage & device data — log data, IP address, device/browser type, and, where you register a site device, an identifier that maps a device to a site.
• Intake data — if you contact us by phone or chat intake, the message or transcript you provide, used to draft a work order for our team to review.

How we use information

• Provide, operate, and improve the Services — routing work to vendors, coordinating scheduling, verifying completion, and billing.
• Maintain a tamper-evident audit record of actions taken on your work orders.
• Communicate with you about requests, approvals, quotes, dispatches, and statements.
• Secure the Services, prevent fraud and abuse, and comply with legal obligations.

Legal bases (EEA/UK)

Where GDPR or UK GDPR applies, we process personal data to perform our contract with your organization, to pursue legitimate interests (operating and securing the Services), to comply with legal obligations, and, where required, with consent. For most data we handle in delivering the Services, your organization is the controller and Stable is the processor — see our Data Processing Addendum.

How we share information

• Vendors — the work-order details a vendor needs to perform the job (site, access, scope). Vendors do not receive your negotiated rates.
• Service providers (subprocessors) — infrastructure, payments, email, voice, AI, and monitoring providers who process data on our behalf under contract. See our Subprocessors list.
• Legal & safety — where required by law, to enforce our terms, or to protect rights, safety, and security.
• Business transfers — in connection with a merger, acquisition, or asset sale, subject to this policy.

We do not sell personal information, and we do not share it for cross-context behavioral advertising.

AI processing

Some intake features use a large language model to turn a free-form request into a structured work-order draft for our team to review. We send only the request text needed for that draft, and the draft is always reviewed by a person before it becomes a work order. We do not use your content to train third-party foundation models.

Retention

We retain personal information for as long as needed to provide the Services and for legitimate business, audit, and legal purposes. Because our audit ledger is designed to be tamper-evident, records of actions are retained for the life of the account and applicable retention periods; where we must honor a deletion request against an append-only record, we use cryptographic deletion (removing keys) rather than rewriting history.

Security

We use encryption in transit, access controls scoped by role and organization, tenant isolation, and least-privilege service credentials. No method of transmission or storage is perfectly secure, but we work continuously to protect your data. Report a concern to security@stablesvc.com.

Your rights & choices

Depending on where you live, you may have rights to access, correct, delete, or port your personal information, or to object to or restrict certain processing. If your organization administers your account, we may direct your request to them as the controller. To exercise a right, contact privacy@stablesvc.com. You may appeal a decision by replying to our response. We will not discriminate against you for exercising these rights.

Cookies

We use strictly necessary cookies to keep you signed in and to operate the app. We do not use advertising or cross-site tracking cookies.

International transfers

We may process and store information in the United States and other countries. Where we transfer personal data internationally, we rely on appropriate safeguards such as Standard Contractual Clauses.

Children

The Services are for businesses and are not directed to children under 16. We do not knowingly collect their personal information.

Changes

We may update this policy; we'll change the “Last updated” date above and, for material changes, provide additional notice.
